A healthcare SaaS company — one whose revenue depends on customers renewing their subscriptions month after month — came to KTD Creative growing almost entirely through referrals, a model that worked but couldn’t scale. With no internal marketing department to build the channel they needed, and no interest in hiring, onboarding, and managing one, they brought in KTD Creative as their outsourced, turnkey marketing team. We helped them build a digital presence and acquisition system that could.
The company had built something clinicians genuinely valued — a strong product with a loyal, growing base. But nearly all new business arrived the same way: one satisfied customer mentioning them to the next. That word-of-mouth model had carried them impressively far, and it spoke well of the product. What it couldn’t do was scale.
Referrals can’t be forecast, dialed up, or aimed at a particular segment, so growth stayed tethered to the reach of the existing network rather than the size of the market itself. There was no repeatable digital channel bringing in qualified prospects — no way to reach the clinical decision-makers already searching for a solution, and no infrastructure to measure or deliberately grow demand.
And there was no marketing team of their own to build any of it — no department to set strategy, run campaigns, or own the channels that scalable growth requires. It was a strong position with a real vulnerability underneath: if referral momentum ever slowed, there was little to catch them.
We stepped in as their marketing department. As the company’s outsourced, turnkey marketing team, KTD took ownership of the entire function — strategy, brand, content, creative, web, analytics, and search — so the client had one team accountable for the whole operation rather than a patchwork of freelancers or a department to staff and manage.
Being their marketing department meant working like one — closely, continuously, and in the day-to-day. We held standing weekly meetings with the client to set priorities, review work in progress, talk through results, and adapt as goals shifted, the same steady rhythm an internal team runs on. And because a company’s marketing rarely lives in isolation, we collaborated directly with the client’s other vendors and partners, folding outside contributors into one coordinated plan so every piece moved in the same direction. The client got the closeness and continuity of an in-house team, and a single point of contact who kept everyone aligned — without the overhead of building that team themselves.
Our Creative Director and Digital Marketing Team Leader worked hand in hand with the client to develop a cohesive brand and digital strategy that could support sustainable growth. We began by refining the company’s visual identity, including a logo refinement, and refreshing the website with a modernized design, sharper navigation and layout, stronger typography, and improved accessibility.
We developed the content and creative strategy across the entire digital ecosystem, not just the website. KTD developed a strategy for email and e-newsletter communications, and created content and creative for advertising campaigns.
We also designed social media graphics, digital banners, fact sheets, ad campaigns, e-newsletter templates, and other supporting communications — all built around a cohesive visual system that extended the refreshed website design across every customer touchpoint.
That began with a marketing strategy grounded in audience research: evaluating the company’s existing initiatives, researching how clinical decision-makers actually search and buy, and mapping tactics across digital and traditional channels to the company’s business goals.
A full SEO assessment examined site health across performance, usability, security, and social factors; keyword research identified the industry and niche terms clinical buyers use; and a competitive review benchmarked the brand against category peers with a SWOT analysis of the organic and paid landscape.
Finally, we made growth measurable. We implemented GA4 and Google Tag Manager and built out the layer that turns activity into insight — a documented event and conversion-tracking schema, Google Search Console for organic-search reporting, and UTM-based attribution for campaign tracking.
With persona-based funnels for clinical decision-makers and messaging aligned across the buyer journey, the result was a cohesive brand experience paired with a measurable digital infrastructure designed to attract, engage, and convert new prospects.
Throughout, the client managed one relationship, not a dozen. Every discipline a growing company would otherwise have to hire for — brand, design, copy, web, campaigns, SEO, analytics — ran through a single accountable team, and when outside vendors were involved, KTD coordinated them so the client didn’t have to.
A shift from referral-dependent growth to a measurable, repeatable digital channel. With brand, website, content, creative, analytics, and search working as a single system, the company gained a digital foundation positioned to support 50%+ revenue growth — and the scalable acquisition infrastructure to keep building on it. In short, they got a complete marketing operation — strategy through execution — turnkey, without ever having to build or manage an internal marketing department.
